Personal data

Personal data includes information relating to persons or events concerning a natural person. Such information may include name, address, telephone number or e-mail address. Information that does not refer to an identified or identifiable person – such as your favorite web pages or the number of users of a web page -is not considered personal data.

Which data do we collect?

It is possible to visit our site anonymously.

DEFY collects data from visitors who have contacted the company via the online form, by e-mail or by telephone.

In order to carry out its translation services, DEFY needs to collect information about its customers: surname, first name, company name, VAT number, e-mail address, telephone number.

We may also access information about you in the documents you submit to us as part of our translation services.

We use your personal data to :

  • Send quotations and commercial offers
  • Answer any questions you may have
  • Translate documents submitted to us
  • Legalize/assert/certify documents submitted to us
  • Interpreting services
  • Participate in any other linguistic assignment

DEFY does not pass on any personal data to third parties.

Data retention and deletion

DEFY processes personal data for as long as is necessary for the purpose in question. We determine the length of time we keep your data on the basis of the following obligations:

Operational requirements: period during which the information is necessary to ensure the performance of our service.

Legal requirements: period during which DEFY needs to keep this data in order to meet its legal obligations. Archived data is stored on secure databases accessible only to authorized personnel. At the end of the legal retention period, personal data is deleted.

Provided the legal requirements are met, you have the right to:

  • To be informed of and have access to the processing of personal data concerning you (Right to information and access – Article 15 GDPR).
  • Obtain the modification of inaccurate personal data (Right of rectification – Article 16 GDPR).
  • To obtain the deletion of your personal data (Right of deletion – Article 17 GDPR).
  • To request the limitation of the processing of personal data concerning you (Obligation to limit the processing of personal data – Article 18 GDPR).
  • To recover all personal data concerning you (Right to portability of personal data – Article 20 GDPR).
  • To object to the processing of data on the grounds of a legitimate interest, or for a reason of public interest (Right to object to the processing of data – Article 21 GDPR).

Withdrawal of consent

In the event that your consent has been requested for the performance of data processing, please be aware that you are entitled to withdraw it at any time, without altering the lawfulness of the processing of personal data based on the consent carried out prior to the withdrawal.

Exercising your rights

If you wish to exercise your rights concerning personal data held by DEFY, or if you wish to withdraw a consent previously given, you may contact DEFY’s Data Protection Officer (see contact details above) explaining which right you wish to exercise so that DEFY can take the necessary steps to respect your rights. To ensure the exercise of your rights, DEFY may ask you to prove your identity in order to prevent unauthorized access to your personal data.
